Your information, your controls

ServiceVedas uses personal information to provide marketplace, quotation, order, service, payment, review, and support workflows. You can manage key visibility, contact, notification, document, marketplace, and personalization choices in Settings.

1. Scope of this Privacy Policy

This Privacy Policy explains how ServiceVedas collects, uses, stores, shares, protects, and deletes personal data when users, business accounts, service providers, vendors, agencies, companies, freelancers, LSPs, production teams, admins, and visitors use our services marketplace, APIs, account tools, service listings, service requirements, quotation workflows, messaging, file sharing, payments, reviews, notifications, and support features. ServiceVedas is built for language, AI, creative, media, and professional service workflows. Businesses and providers that receive project, order, quotation, or contact information may separately control their own copy of that information under applicable privacy obligations.

2. Personal data we collect

  • Account and verification data: name, email address, phone number, password hash, account role, verification status, OTP records, and login credentials.
  • User profile data: location, date of birth where provided, gender where provided, service interests, preferred categories, languages, skills, education, experience, profile photo, portfolio links, documents, and public profile information.
  • Business and provider data: representative identity, business email, company profile, provider type, website, location, logo, gallery, industry or service sector, company size, social links, team members, verification documents, certificates, services, pricing, availability, and portfolio.
  • Marketplace activity data: saved services, service requirements, service listings, quotes, proposals, applications, orders, contracts, milestones, deliverables, payment state, invoices, reviews, ratings, messages, and relevant communications.
  • Meeting and notification data: proposed and selected meeting slots, time zone, meeting details, Vedameet or calendar links, notification state, reminder schedules, and meeting recordings only where recording is enabled and disclosed for a project workflow.
  • Preferences and activity: visibility, contact, communication, security, personalization, service-alert, marketplace, cookie, and activity-tracking choices.
  • Technical data: request, device, browser, IP, diagnostic, security, and session information produced when the Platform is accessed.

3. Lawful purpose, consent, and legitimate use

We process personal data for lawful purposes connected with operating ServiceVedas, including account creation, authentication, marketplace discovery, service requests, service listings, quotations, orders, contracts, payments, meetings, file sharing, reviews, security, support, legal compliance, and service improvement. Where consent is required, we ask for it through the relevant form, setting, cookie banner, or account action. You may withdraw optional consent through Settings, cookie controls, or Help & Support, but withdrawal may limit features that depend on that data.

4. Storage, database, and infrastructure providers

Account records, user profiles, business profiles, services, requirements, quotes, orders, contracts, messages, notifications, OTP audit records, payment records, reviews, settings, and preferences are stored in our application database, currently PostgreSQL through Prisma, or an equivalent managed relational database such as MySQL or PostgreSQL if configured for a deployment. Uploaded documents, portfolio files, profile photos, business logos, banners, gallery images, project files, and deliverables may be stored in AWS S3 or another configured cloud object-storage provider. These systems may be hosted in India or other permitted locations, with contractual and technical safeguards where required. We use these systems to host the website, protect accounts, deliver requested services, maintain backups, and support operational reliability.

5. How personal data is collected

We collect information directly when you register, verify an email or phone number, build a user or business profile, upload a file, subscribe to service updates, save a service, post a service requirement, publish a service listing, send or receive a quote, manage an order, schedule a meeting, share deliverables, or submit a review. We also receive data through Google sign-in when you choose it, from users and businesses participating in marketplace workflows, and from connected payment, communication, verification, or storage providers used to operate requested features. Technical and security data may be collected automatically when you use the Platform.

6. How we use personal data

  • Create, authenticate, secure, recover, and administer user, business, provider, and admin accounts.
  • Verify email addresses, phone numbers, company domains, business information, and provider verification details.
  • Display services, service requirements, companies, providers, profiles, portfolios, reviews, saved items, and relevant search results.
  • Allow authorized users and businesses to review quotes, proposals, applications, order details, project files, milestones, and deliverables.
  • Send requested OTPs, password-reset messages, service alerts, quote updates, order updates, meeting invitations, confirmations, and reminders.
  • Create meeting slots, Vedameet links, file-sharing actions, invoice records, and calendar actions after the applicable workflow is completed.
  • Support Vedameet or other meeting sessions that may be recorded only where recording is enabled and disclosed for a project, quote, support, or dispute workflow.
  • Honor profile visibility, document visibility, contact, notification, marketplace, and personalization settings.
  • Prevent fraud and abuse, investigate errors, enforce our Terms, and comply with legal obligations.
  • Measure and improve reliability, usability, search relevance, and platform security.

7. Marketplace visibility and account access

Public profile, service, portfolio, review, category, location, pricing, availability, and business verification details may be visible in the marketplace according to your account role and settings. Users may share contact and project details when requesting quotes or ordering services. Businesses and providers may receive the information needed to respond to service requirements, send quotations, manage orders, deliver work, and support disputes. Private credentials, passwords, OTPs, internal admin data, unrelated order records, and non-shared files are not intentionally exposed to other users. Each business or provider is responsible for information they lawfully download, export, retain, or receive outside the Platform.

8. When personal data is disclosed

  • To users, businesses, and providers: as necessary for service discovery, quote requests, proposals, orders, milestones, deliverables, reviews, disputes, and marketplace communications.
  • To service providers that operate ServiceVedas: infrastructure, database, storage, email, AWS SNS or configured SMS delivery, authentication, payment, calendar, analytics, security, verification, and support providers acting for the Platform.
  • To Vedameet or meeting tools: when meeting functionality is used, including sessions that may be recorded where recording is enabled and disclosed for a project or support workflow, subject to the tool's own terms and privacy practices.
  • For legal and safety reasons: when reasonably necessary to comply with law, valid legal process, protect users, investigate fraud, or enforce agreements.
  • For a business transaction: in a merger, financing, acquisition, restructuring, or transfer of assets, subject to appropriate safeguards and notice where required.
  • With your direction: when you intentionally connect, export, share, or authorize information through a Platform feature.

9. Advertising, sharing, opt out, and automated features

ServiceVedas does not sell personal data for money. If advertising, analytics, measurement, or partner tools are enabled, those tools may use cookies, device identifiers, IP addresses, browsing activity, or similar data to measure campaigns and improve the Platform. You can manage optional cookies through Your Privacy Choices in the footer or contact info@vedastech.in. Service matching, search, filtering, profile-strength, ranking, alerts, and recommendation features help organize information; they do not make final contract, payment, or hiring decisions for users.

10. Cookies, tokens, and similar technology

The Platform uses browser storage and similar technology to maintain authentication, remember a login when requested, preserve essential preferences, protect sessions, and support core functionality. If accepted, cookies and similar technologies may also support analytics, advertising, content measurement, audience research, and service development. A remembered authentication token may remain on the device until logout, expiration, or removal; a non-remembered token is limited to the browser session. Third-party sign-in or embedded services may use their own cookies under their policies.

11. Communications and your choices

Users and business accounts can manage quote emails, service alerts, saved-search alerts, provider messages, newsletters, promotions, push notifications, profile visibility, document visibility, contact preferences, personalization, marketplace alerts, and activity settings from the Settings page. Newsletter subscriptions may be managed separately. Essential security, verification, password-reset, legal, payment, order, and service messages may still be sent when needed to operate or protect an account.

12. Retention and deletion

We retain information only for as long as reasonably needed to provide the requested services, maintain marketplace, order, payment, tax, review, dispute, and security records, enforce agreements, and satisfy legal obligations. Verification and password-reset codes expire and are retained only as needed for security and audit controls. Deleting an account does not necessarily remove copies already lawfully received by another user or business, records required by law, fraud and security records, transaction records, or limited backup copies that age out under normal backup schedules.

13. Security safeguards

We use reasonable administrative, technical, and organizational safeguards, including role-based access controls, authentication middleware, hashed passwords and one-time codes, restricted user, business, provider, and admin routes, and validation of sensitive operations. No online system can guarantee absolute security. Keep passwords and OTPs confidential, use accurate contact information, log out of shared devices, and report suspected unauthorized access.

14. Your rights under Indian privacy law

  • Access: request information about the personal data we process about you.
  • Correction: ask us to correct inaccurate or incomplete personal data.
  • Erasure: request deletion of personal data when retention is no longer required for the relevant purpose or legal obligation.
  • Consent withdrawal: withdraw optional consent for non-essential processing, subject to feature limitations.
  • Grievance redressal: contact us about privacy concerns before approaching the Data Protection Board where applicable.
  • Nomination: nominate another person to exercise rights in the event of death or incapacity where supported by applicable law and account verification.

15. Exercising privacy rights

You can correct much of your information through Profile, Personal Information, Company Profile, and Settings. Other access, correction, erasure, consent-withdrawal, grievance, or nomination requests can be submitted through Help & Support while signed in or by emailing info@vedastech.in.

We may verify your identity, account ownership, company authority, registered email, mobile number, or other account identifier before completing a request. We aim to respond within a reasonable period and within timelines required by applicable Indian law.

16. Sensitive data, children, and India-focused use

Do not upload Aadhaar numbers, PAN numbers, passport details, financial-account credentials, medical records, caste or religion information, or other sensitive information unless a specific lawful Platform workflow requests it. ServiceVedas is intended for people and businesses legally able to request, provide, purchase, sell, or manage professional services and is not directed to children under 18. India-based workflows may include local support, tax, verification, contact, and marketplace requirements where applicable.

17. External links, tools, and services

Some payment links, meeting links, authentication tools, calendar services, storage tools, communication tools, company information, portfolio links, and external websites are supplied by third parties. When you leave ServiceVedas or submit information directly to another party, that party's privacy notice applies. Review external terms before providing information. ServiceVedas is not responsible for independent third-party privacy practices.

18. Policy updates and contact

We may update this Policy to reflect Platform, provider, security, or legal changes. The revised date will appear above, and material changes will be communicated through the Platform or registered contact details where required. Privacy questions, rights requests, and security concerns should be submitted through Help & Support or by emailing info@vedastech.in. Do not include a password, OTP, or unnecessary sensitive information in a support request.
